Frequently asked

How do I check the status of an ongoing project?

Email or call the office with your project reference and we will give you the current field and processing status the same day. On larger projects you will already have a named project contact — going to them directly is usually fastest.

If fieldwork has been paused, we will tell you why. The usual causes are weather, sea state, access being denied at the gate, or a pending third-party approval.

How quickly can a survey crew mobilise?

For sites within Lagos and the South-West, a crew can typically mobilise within a few working days of an accepted quote and a confirmed access arrangement. Offshore and Niger Delta work takes longer because of vessel availability, permits and security clearance.

The confirmed date always goes in the accepted proposal — nothing on this page overrides that.

Do I need to be on site while the survey is carried out?

No, but someone must be able to grant the crew access on the agreed day, and we need a contact reachable by phone during the visit. Where the site is occupied, gated or inside a secured facility, arrange the clearance in advance — a crew turned away at the gate counts as a standby day.

Can I get another copy of a survey you did for me?

Yes. We retain project records for at least seven years. Email us with the site location, the approximate date, and the name the job was booked under, and we will locate the file.

We can only release records to the client of record or someone they authorise in writing. If you bought a property and want the survey commissioned by the previous owner, we will need their written authorisation or a court order.

Can you re-issue a plan in my name or update an old survey?

We cannot simply change the name on an issued plan — a survey plan records who commissioned it and when. What we can do is carry out a fresh survey, or a verification against the existing record, and issue a current plan in your name.

For older surveys, be aware that pillars get disturbed and ground conditions change. If the plan is more than a few years old and you are relying on it for a transaction or a build, a re-verification is usually the right call.

I think there is an error in a deliverable. What now?

Tell us as soon as you notice it, with the file and the specific point or area in question. We will check it against the field data and the control used.

Where the error is ours, we correct the deliverable or re-survey at our own cost. Where the discrepancy comes from a different datum, a different projection, or a comparison against a third-party plan, we will explain what the difference is and where it comes from.

What formats do you deliver in?

Standard deliverables include:

  • Drawings and plans — DWG, DXF and PDF
  • GIS data — SHP, GeoPackage, KML and GeoJSON
  • Imagery and terrain — GeoTIFF orthophotos, DTM and DSM rasters
  • Point clouds — LAS and LAZ
  • Coordinate listings — CSV and Excel

If your team works in a format not listed, ask before the project starts and we will confirm whether we can deliver it.

Which coordinate system and datum will my data be in?

Unless you specify otherwise, we deliver on the datum and projection appropriate to the location and the intended use, and the choice is stated clearly in the report. Tell us upfront if your data has to tie into an existing site grid, a client-specified datum, or a set of established control points — retrofitting a transformation after delivery is avoidable work.

For hydrographic work, we also confirm the vertical reference used for reducing soundings.

Can I get the raw field data as well?

Raw instrument records, calculation files and working notes are not part of the standard deliverable. If your project needs them — for independent verification, for example, or for ongoing monitoring — say so before the engagement is signed and we will include them in the scope.

How long does a quote take, and how long is it valid?

We respond to every quote request within one business day. Straightforward jobs are usually priced the same day; anything needing a site inspection takes a little longer, and we will tell you when to expect the figure.

Why has the price changed since the original quote?

A quote is priced against the scope and site conditions described to us. The price changes only when something material differs — a larger area, denser vegetation, a higher accuracy specification, extra deliverables, restricted access, or added standby and remobilisation.

Any variation is agreed with you in writing before we carry out the extra work. You should never see a changed figure appear for the first time on an invoice.

I have a question about an invoice.

Email us with the invoice number and the specific line you are querying. We will come back with the backing detail — field days, equipment, statutory and lodgement charges, and any agreed variations.

Quoted fees exclude VAT, withholding tax and third-party statutory charges unless the proposal says otherwise. Full terms are on the Terms & Conditions page.

Raising a concern

We would rather hear about a problem early than read about it later. Here is how a complaint is handled.

Most issues — a missed date, a deliverable that does not match expectations, a crew problem on site — are resolved fastest by the person already running your project.
THEN
Put it in writing to the office
If it is not resolved, email info@sealmatics.com with the project reference and what you would like done. We acknowledge within one business day and give a written position within ten.
IF UNRESOLVED
Formal escalation
Where a matter cannot be settled between us, it can be referred to mediation or arbitration in Lagos as set out in our terms. Professional conduct concerns may also be raised with the relevant surveying regulator.
