1. Who we are

Sealmatics Surveys Consultants Ltd ("Sealmatics", "we", "us") is a surveying and geospatial consultancy registered in Nigeria, with its office at 12, Oladoyinbo Street, Aguda-Ogba, Lagos. For the purposes of the Nigeria Data Protection Act 2023, we are the data controller for the personal information described in this policy.

This policy covers www.sealmatics.com and any data you send us through the forms on it. It does not cover third-party websites we link to, which have their own policies.

2. Information we collect

Information you give us directly

When you complete our contact form or quote request form, we ask for:

• Your full name and, where relevant, your organisation
• Your email address and phone number
• The subject of your enquiry or the services you are interested in
• Project details: location, approximate area or scale, required timeline, and your written description of the work
• Any files or documents you choose to attach to a quote request

Fields marked with an asterisk are required because we cannot prepare a quote or reply without them. Everything else is optional.

Information collected automatically

Our web host records standard server logs when you visit — IP address, browser type, pages requested and the time of the request. These logs are used to keep the site running and secure, not to build a profile of you.

Information from other sources

If you are introduced to us by a client, partner or consultant, we may receive your name and business contact details from them so that we can carry out the project we have been engaged for.

3. How we use your information

We use the information you give us to:

• Respond to your enquiry and prepare a quote
• Plan, mobilise and deliver the survey or consultancy work you engage us for
• Issue invoices and keep the accounting and tax records we are required to keep
• Keep you informed about the progress of your project
• Maintain and secure this website, and detect spam submissions
• Meet our professional, regulatory and legal obligations

We do not sell your personal information, and we do not share it with advertisers.

4. Lawful basis for processing

We rely on one of the following grounds each time we process your personal data:

• Performance of a contract — where we are delivering a project you have engaged us for, or taking steps at your request before entering a contract, such as preparing a quote
• Legitimate interests — to run and secure our business, respond to enquiries, and keep records of the work we have done, balanced against your rights
• Legal obligation — where tax, corporate or professional regulation requires us to keep or disclose records
• Consent — where you have opted in to something specific, such as receiving updates. You can withdraw consent at any time

5. Survey and project data

Much of the data we handle is spatial rather than personal: coordinates, elevations, bathymetric soundings, imagery, point clouds and maps. Some of it can still identify people or property — for example a cadastral survey tied to a named landowner, a drone orthomosaic of an occupied site, or a property boundary dispute file.

Aerial and drone work is carried out under the applicable Nigerian Civil Aviation Authority requirements. Where a survey area includes occupied property, we work through the client to give appropriate notice to those affected.

6. When we share information

We share personal information only where it is necessary, and only with:

• Our staff and field crews, so far as they need it to carry out your project
• Sub-consultants and partner firms engaged on your project, under confidentiality terms
• Service providers who host our website and email, and who process data on our instructions only
• Regulators, courts and government agencies, where a survey must be lodged, certified or disclosed by law — for example filings with a State Surveyor-General's office
• Professional advisers such as our accountants and lawyers, where required

We do not transfer personal data outside Nigeria except where an international partner is engaged on your project, and then only with appropriate safeguards in place.

7. How long we keep your data

Enquiries that do not become projects are kept for up to two years, after which they are deleted. Project records, including survey data and deliverables, are kept for a minimum of seven years after completion. We keep them because survey plans are frequently relied on long after the fieldwork ends, and because boundary and engineering records may be needed in later transactions or disputes. Financial records are kept for the period required by Nigerian tax law.

8. How we protect your information

We apply access controls, encrypted transmission and secured backups to the data we hold, and we limit access to the staff who need it. Field data is transferred from instruments to secured office storage as soon as practicable after acquisition.

No system is completely secure, and we cannot guarantee the security of information while it is in transit to us over the internet. If a breach occurs that is likely to affect your rights, we will notify you and the Nigeria Data Protection Commission as the Act requires.

9. Your rights

Under the Nigeria Data Protection Act 2023 you have the right to:

• Ask what personal data we hold about you and receive a copy of it
• Have inaccurate or incomplete data corrected
• Ask us to delete data where we no longer have a lawful reason to keep it
• Object to or restrict processing in certain circumstances
• Receive your data in a portable format where processing is based on consent or contract
• Withdraw consent at any time, without affecting processing already carried out
• Lodge a complaint with the Nigeria Data Protection Commission

To exercise any of these, contact us using the details below. We will respond within 30 days. Note that we may not be able to delete data we are professionally or legally required to retain, such as a lodged survey plan; where that is the case we will explain why.

10. Cookies

This website uses only the cookies needed for it to work — for example, to keep your session active while you submit a form. We do not use advertising or cross-site tracking cookies. Pages that embed Google Maps may set cookies controlled by Google under its own privacy policy. You can block or delete cookies in your browser settings, though some parts of the site may then not work correctly.

11. Children

Our services are directed at businesses, institutions and property owners. We do not knowingly collect personal data from anyone under 18. If you believe a child has submitted information through this site, contact us and we will delete it.

12. Changes to this policy

We review this policy periodically and will post any updated version on this page with a revised date. Where a change materially affects how we handle your data, we will tell affected clients directly.
